This Privacy Policy does not apply to any of your activities after you leave our site.

We only collect and use your personal information when we have a legitimate reason for doing so. In which instance, we only collect personal information that is reasonably necessary to provide our services to you.

Collection and Use of Information

We may collect personal information from you when you do any of the following on our website:

We may collect, hold, use, and disclose information for the following purposes, and personal information will not be further processed in a manner that is incompatible with these purposes:

The handling of data received from Google APIs is governed by the Google User Data section below, which takes precedence over the general terms above for that data.

Google User Data

This section explains how Ease accesses, uses, stores, shares, and deletes data received from Google APIs when you connect your Google account to the Ease platform (app.easepractice.com).

Data We Access

When you choose to connect your Google Calendar, and only with your explicit consent through Google’s authorization screen, we request the following permissions:

• Basic account information: your Google account email address and a unique account identifier, used to identify the connected Google account and link it to your Ease account.
• View your calendars: read access to your calendar list, calendar events, and calendar settings, used to display your schedule and availability within Ease.
• View and edit events: access to create, update, and delete events on your calendars, used only when you schedule, reschedule, or cancel events through Ease.

We do not access your Google Contacts, Gmail, Google Drive, or any other Google service.

How We Use Google User Data

We use Google user data only to provide and improve user-facing features within Ease, specifically:

• Displaying your calendar events within the Ease platform
• Creating, updating, and deleting events that you schedule, reschedule, or cancel through Ease
• Showing your availability for scheduling features

We do not use Google user data for advertising, and we do not sell it. We do not use Google user data to develop, improve, or train generalized artificial intelligence or machine learning models.

Artificial Intelligence and Machine Learning

Ease does not use, transfer, or retain user data obtained through Google Workspace APIs, including the Google Calendar API, to develop, improve, or train generalized or non-personalized artificial intelligence or machine learning models.

We do not share Google user data with any third-party AI or machine learning provider, and Google user data is never used as training data for any model, whether operated by Ease or by a third party.

How We Share, Transfer, or Disclose Google User Data

We do not sell, rent, or trade Google user data. We share it only in the following limited circumstances:

• Service providers: We use Amazon Web Services (AWS) to host our infrastructure and store data. AWS processes data only on our behalf and under contractual confidentiality and security obligations.
• At your direction: When you explicitly instruct us to share information, for example by adding attendees to an event you create through Ease.
• Legal compliance: When required by applicable law, regulation, subpoena, or court order, or to protect the rights, safety, or security of our users or others.
• Business transfers: In connection with a merger, acquisition, or sale of assets, in which case the recipient will remain bound by this policy with respect to Google user data.

We do not transfer Google user data to any other third parties. No person at Ease reads Google user data unless (a) you give us explicit permission for specific data, (b) it is necessary for security purposes such as investigating abuse, (c) it is required to comply with applicable law, or (d) the data has been aggregated and anonymized for internal operations.

Data Protection Mechanisms

We protect Google user data, including sensitive data, with the following safeguards:

• Encryption in transit: All data exchanged between your browser, our servers, and Google APIs is encrypted using TLS 1.2 or higher.
• Encryption at rest: Data stored in our databases and storage systems is encrypted using AES-256 through AWS-managed encryption.
• Token security: OAuth access and refresh tokens are encrypted at rest, stored only on our servers, and never exposed to the browser or to other users.
• Access control: Access to production systems is restricted to authorized personnel on a least-privilege basis, protected by multi-factor authentication, and logged.
• Network isolation: Our databases run in private networks with no direct public internet access.
• Account isolation: Each customer’s data is logically separated and accessible only to authenticated users of that account.

Retention and Deletion of Google User Data

• We retain Google user data only for as long as your Google account remains connected to Ease and the data is needed to provide the features described above.
• Disconnecting: You can disconnect Google Calendar at any time from the integrations settings in your Ease account, or by revoking access at myaccount.google.com/permissions. When you disconnect, we revoke our OAuth tokens and delete the associated Google user data from our systems within 30 days.
• Account deletion: If you delete your Ease account, all Google user data associated with it is deleted within 30 days.
• Deletion requests: You can request deletion of your Google user data at any time by emailing support@easepractice.com. We will complete the request within 30 days.
• Encrypted backups that may contain this data are removed on our standard backup rotation, within 35 days of deletion.

Google API Services User Data Policy Compliance

Ease’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
